Email Client Compliance – Modern Authentication

Microsoft will soon be retiring basic authentication from Office 365, meaning that only modern authentication methods will be compatible. In order to comply with University policies around Multi-Factor Authentication and information security, colleagues must ensure that they are using secure and up-to-date email clients before 30th June.

To maintain the highest levels of security and authentication, only certain email applications will be considered acceptable for use and recommended by ICT Services. Primarily, this will focus on email applications installed on mobile and remote devices, as on the whole, on-campus corporate machines will be using approved email clients by default.

Below is a full list of all approved email clients and applications:

  • Outlook 365 (web version and downloaded version)
  • Outlook 2016 (PC and Mac versions)
  • Outlook mobile app (iOS and Android)
  • Apple Mail App – MacOS version 10.14 and iOS version 11.0

These mail clients are the most secure and compatible with our security measures, and as a result, allow us to keep your data and the data of others safe.

Please Note: If you do not switch to one of the approved clients above, you will be continually be prompted for your credentials if the client application you are using is no longer supported. Please contact the Service Desk; please don’t change your password.

If you are using other methods to receive University emails on your device, you should remove these and instead install and use Microsoft Outlook 2016 or one of the equivalent applications. Steps to install these are included below.

 

Outlook 365 (web and downloaded version – PC and Mac compatible)

Visit 365.lincoln.ac.uk and sign in using your University email and password. From here, you will be able to click on the Outlook icon/tab on the left to access your emails and calendar as normal via the web. If you wish to download Outlook to use as an installed program on your computer, follow the steps below:

  1. Visit 365.lincoln.ac.uk and sign in (if you haven’t already).
  2. Click on the “Install Office” drop-down button on the right-hand side.Screenshot of Install Office Button.
  3. Select “Office 365 Apps” to install the full Office 365 suite of applications, including Microsoft Outlook.
  4. You will then be able to access Outlook from your computer rather than through a web browser.

Please Note: Users can download Office 365 on up to 5 separate devices.

 

Outlook 2016 (PC and Mac versions)

On the majority of corporate devices (University-owned PCs, Laptops and Macs), Outlook 2016 will be set as the default mail client for your University account when you sign in. However, some older corporate devices may be outdated and running older non-compliant versions of Outlook or other mail clients.

If your version number is older than Outlook 2016, you will need to update Outlook to the newest version or download a newer version. Please contact the ICT Service Desk to do this.

Apple Mail

If you already use Apple Mail, you will need to remove your account and restart by reconnecting to your University inbox through the Apple Mail app settings.

Removing an account on Mac
  1. Open the Mail app.
  2. Click on “Mail”, then “Accounts…”.
  3. Click on your work email account in the left sidebar (this may be known as “Exchange” or a custom name).
  4. Click on the minus () symbol at the bottom left of the window, then click on “OK” in the window that appears.
Adding an account on Mac
  1. Open the Mail app.
  2. Click on “Mail”, then “Add Account…”.
  3. Select Microsoft Exchange from the options that appear.
  4. Type in your University email address and click “Sign In”.
  5. Click “Sign In” again.
  6. Click on “Work or school account”.
  7. Sign in using your University of Lincoln email and password.
  8. Click on “Accept”.
  9. Select the Apps you wish to use in conjunction with your University account.

Your email Inbox will appear as “Exchange” under “All Inboxes”.

 

Other mail clients and applications are not guaranteed to be as secure due to their lack of multi-factor authentication measures and administrative access from ICT Services.

The following are examples of email systems that are incompatible with multi-factor authentication and therefore should NOT be used:

  • POP3
  • IMAP
  • Thunderbird
  • Microsoft mail (outlook.live.com)
  • Exchange Activesync
